1. Overview

This Privacy Policy explains how RS Performance Index Pty Ltd ("RSPI", "we", "us") collects, uses, discloses and safeguards personal information when athletes, parents, coaches, scouts and organisations use our platform, in line with the Protection of Personal Information Act, 2013 (POPIA) and other applicable South African data protection law.

2. Information we collect

Account details (name, email, role), athlete performance profiles (position, age group, anthropometric measurements, testing results), consent records, and limited organisation information. We do not store home addresses, identity numbers, medical information or private contact details on athlete profiles. Minor athletes are managed through a linked parent or guardian account.

3. How we use information

To build and maintain verified athlete performance profiles, track longitudinal development, enable role-based access, process payments for memberships and testing services, and support responsible, consent-respecting talent identification by verified scouts and organisations.

4. Lawful basis and consent

We process personal information on the basis of consent, contract performance, and our legitimate interests in operating the platform. Consent for minor athletes is provided by a parent or guardian and recorded as a structured, auditable consent record. Consent may be withdrawn at any time.

5. Visibility and profiling

Parents and guardians control optional visibility for minor athletes through linked authenticated accounts. Junior athlete profiles cannot be made public through the standard profile controls. Scouting visibility requires purpose-specific guardian consent and verified scout access. Automated analytics are used as decision support and are not intended to make final selection, recruitment or medical decisions.

6. Data sharing

We do not sell personal information. Performance information is shared with verified scouts and organisations only where the athlete's visibility and consent settings permit. We may disclose information where required by law.

7. Data retention

Personal information is retained only for as long as there is a defined operational, contractual, legal, evidentiary or other lawful retention basis. Where information no longer needs to identify an individual, it may be deleted or de-identified. Retention decisions are subject to documented policy and applicable record-keeping obligations.

8. Security

We apply role-based access control, encryption in transit, and safeguards for minor athletes. Access follows the principle of least privilege.

9. Your rights

You may request access to, correction of, or deletion of your personal information, and may withdraw consent, subject to applicable law. Requests can be submitted through the Help Centre or by emailing rspindex@gmail.com.

10. Changes to this policy

We may update this policy from time to time. Material changes will be communicated through the platform. The effective date is shown above.
